February was a long meeting and I really appreciate Teri making sense of it all and putting it in a format that makes senses now.
If you guys find anything that needs corrected feel free to let me know.

2012 February Meeting Minutes –

Members in attendance –
Teri Trainor, Jeramiah Brown, Rick Lloyd, Gilbert Chick, Russell Held, Harry Trainor, Kyle Wyant, Russ Wyant, Stan Smith, Jim Hershman, Robert Ince, Bobby Fabel, Judy Aja
Gang held a practice. It was a fun day. The gang had a race and there were some OTMX member there, Harry, Jeramiah, Larry Brown.
5 point will be given for each of the following: work detail, Racing, Each day you race a National, Work Party, helping at a practice, and for one class race.
VOTED ON: Jim made a motion that a member would get (5) points for any meeting they attend as a representative of the club. Seconded by Judy AYES – 11 Nay – 1.
We went delinquent with the Secretary of State and had to pay a late fee. There was a charge to change the officers. We are now current and listed as a non-profit again.
We have competition for our practice this weekend, Feb 18 & 19. Exit 28 is also running a practice. We need to make it a good practice. We will have three tracks (east, west and pee wee track). We will need 5 or 6 flaggers for each track. We need help flagging. It was suggested that we have a supervisor for each track, to help with any problems that may come up.
It was also suggested that we number each flag and when a flagger signs up, that get a numbered flag and vest. They must return the flag that corresponds to their name to get paid.
Supervisors – Stan – New track, Larry – Old Track and Bobby – Pee Wee track.
Medics need at least two of them and they must be able to communicate. Maybe post their cell numbers in the container. We need to identify the medics with a flag. We have three sets of flags. All three tracks will start at the same place. There will be three exit spots.
Young riders: 16 year olds can not ride with out a parent signature. Minor must have a notarized note transferring responsibility to the adult that is staying at the track to race.
An announcer and sound system is needed.
Our only race will be Feb 25 – 26. We need to make it a good race.
VOTE: Our first place trophy is the same size as a gang third. This is being notice by some of the participants. Cost for trophies, should be spend the extra $150 for taller trophies. Motioned by Stan, Second by Russ. Ayes 12 – Nay –1
Insurance: Lyons club is still in turmoil. They appointed a list of directors and board members. Lyons club is at Status quo, probably will be for another 30 to 60 days. The lease is signed for another year. Still some issues with insurance thru the Lyons club. Our type of event is not covered. Does not cover our “riders” only spectators.. Waiting for Lyons club national office to decide what we are going to do.
We should have our own policy as a club. There are two different policies available. We can buy by the event or by the year. Annual policy will cover us in the event of being sued. It would cover $2mil with a $100 deductible. Cost would be $8,800 a year. We would be covered at the 3rd party (1- owner, 2 – Lyons Club, 3 – us).
The per event insurance would cost $348.00 per event. This is the same agent that Tim and Ty use. It would be $670.00 per weekend for the company the MRANN uses. There are some items that that need to be addressed if we get a per event policy. They are: 60 ft off the track for spectators, Bleachers must be permanently attached, we need to have security to be sure that there is no alcohol at the track.
VOTE: Judy thinks we should go with the $348 per event insurance for now. We need to fence the track and take out the bleachers. Motioned by Stan, Second by Rick, Aye –13 Nay – 0.
We need to think about investing in Radios. We will need 6 to 8. It was brought up that the gang has some, and has offered to let us use them.
VOTE: It was suggested that we move our bank account to somewhere with out a monthly fee. Motioned by Russ, Second by Jim, Aye – 13 Nay – 0.
A discussion was had about getting a dumpster for trash instead of having the club members go back out during the week to make a dump run. Harry advised that a dumpster would cost $317. Bobby suggested paying a member $100 and letting them keep the remaining funds after paying the dump. The matter was left to Bobby to handle.
